Here's the thing about property managers: nobody thinks hard about choosing one until something's gone wrong. Rent stops coming in. A repair sits untouched for a month. You realise you haven't actually spoken to your agent since summer. By that point, you're not choosing a property manager anymore, you're firing one.

Get the fees in writing, all of them
Every agency says their fees are competitive. Fine. But ask about the letting fee, the admin fee, the inspection fee, the lease renewal fee, the stuff that doesn't make it into the pitch. If someone starts talking in vague ranges instead of actual numbers, that's not an accident.
Ask how tenants get chosen, not just that they get checked
Anyone can say "we do reference checks." What you want is someone who can walk you through it properly - income verification, rental history, national tenancy database, the lot and without reaching for a script. That difference matters more than almost anything else in this whole decision, because a bad tenant costs you far more than a slightly higher management fee ever will.
How fast do they actually move?
A dripping tap ignored for three weeks turns into a real repair bill. Queensland has rules around how quickly certain issues need attention, and a property manager who takes that seriously can tell you, on the spot, how a maintenance request gets logged and actioned, including the Sunday night ones.
Do the inspections actually happen?
It's easy to promise routine inspections. It's just as easy to quietly skip them when the office gets busy. Ask how often they happen, whether you get photos and a written report, and this is the real test - what happens after they find something wrong. "We'll let you know if there's an issue" isn't good enough.
Can you actually get them on the phone?
This is the complaint we hear most from landlords who've switched agents: they couldn't get a straight answer out of anyone. Ask who you'll actually be speaking to, and whether that's the same person every time or whoever happens to pick up.
